Privacy notice

How we handle information when you visit our website, contact us or arrange a conversation.

Who this notice covers

On Policy, Inc., a Delaware C corporation, operates On Policy and onpolicygroup.com. In this notice, “On Policy,” “we” and “us” mean On Policy, Inc.

This notice covers our public website, initial business enquiries and scheduling. Licensed business records are covered by separate written agreements that define preparation, access, permitted uses and retention. Visiting the website or submitting an enquiry does not grant us rights to use your business records.

Information we receive

When you complete our intake or book a meeting, we receive your name, work email, company website, role, team size, the age of your records and any business systems you choose to identify. We also receive scheduling details such as your chosen time, time zone and meeting platform, including a meeting link if you provide one.

If you contact us by email, we receive your message and the information you include. We may review public information about your business, such as its website, to prepare for a conversation and assess whether there is a licensing opportunity.

Our hosting and security services receive technical information such as your IP address, browser details, requested pages and request times to deliver and protect the website.

How we use this information

We use enquiry and scheduling information to:

  • Respond to you and arrange or manage meetings.
  • Understand your business and assess a potential licensing opportunity.
  • Prepare for conversations and maintain business correspondence.
  • Operate the website, investigate errors and prevent misuse.
  • Meet legal obligations and maintain records of our dealings.

Public-website intake and scheduling details are used to manage the enquiry and meeting. They are not offered to data buyers or used as AI training material.

Services that help us operate

We use service providers for website hosting and security, business email and calendars, scheduling and video meetings. These providers process the contact, scheduling and technical information needed to provide those services.

We may disclose information where required by law or where reasonably necessary to investigate misuse, resolve a dispute or protect our legal rights. If our business is acquired or reorganized, relevant business records may transfer as part of that transaction, subject to applicable law.

Browser storage and traffic reporting

The booking flow uses browser session storage to keep your unfinished intake and booking confirmation available in the same tab. Your intake is sent to our booking service when you submit a booking request, rather than as you type.

The public website currently has no advertising pixels or session replay. Our hosting provider supplies basic traffic and security reporting and may use cookies when needed for security. Our scheduling service also retains the details needed to manage your booking.

How long information is kept

Retention depends on why the information is held: a meeting, an active enquiry, an ongoing business relationship, security or legal recordkeeping. We keep enquiry and scheduling information for those purposes and review requests to delete it.

Some information may need to be retained to meet legal obligations or resolve a dispute. Copies held in backups or by service providers may remain subject to their retention and deletion processes. Retention of licensed business records is addressed in the relevant agreement.

Security and sensitive material

We use secure website connections and restrict access to the business accounts used to manage enquiries and bookings.

The public intake is for a description of your business, not its records. Please do not include customer information, privileged material, passwords or confidential files. If a licensing opportunity proceeds, we agree the scope and how material will be provided before you transfer records.

Your requests

To request access, correction or deletion of enquiry or scheduling information, email contact@onpolicygroup.com. You can also ask us to stop following up about an opportunity.

We may need to verify your identity before acting on a request. We respond in accordance with applicable law, including any permitted recordkeeping exceptions. Depending on where you live, you may have additional privacy rights or the right to raise a concern with a privacy regulator.

Updates and contact

We will update this notice when our information practices change and show the updated date on this page.
